Job Title: Assistant to the Registrar and College Counselors        DEPT/DIV: Academics
Contract: 20 weeks: November 6, 2019 - March 27, 2020
Job Classification: Full-time, hourly

Reporting Relationship

The Assistant to the Registrar and College Counselors reports directly to the Registrar and to the Director of College Counseling.

Job Summary

As Assistant to the Registrar and College Counselor, this person will help the Registrar and College Counselor achieve excellence in planning, implementation, and communication. Because this job entails the handling of confidential student and faculty records, the Assistant to the Registrar and College Counselors must demonstrate discernment, discretion, and a high degree of professional integrity. Excellent spoken and written communication skills are also a necessity, as this person will handle many important communications with our constituents.

-Ability to learn and use the technology used by the Registrar and College Counselors

The tasks of the Assistant to the Registrar and College Counselor include but are not limited to the following:

-Assist with academic advising and course registration
-Assist the College Counselor with college transcripts and all things related to Naviance
-Handle all details with college rep visits
-Arrange travel for College Counselors
-Handle all matters related to the College Counseling budget
-Prepare and send out transcripts for the Registrar and maintain record logs
-Enter special schedules, course information, student schedule changes, etc…, into the school record database
-Organize academic files and assist the Registrar in yearly file process in accordance with FERPA regulations
-Process enrollment verification and academic document requests
-Assist the Registrar in transferring student information to a new digital database
-Provide additional support at registration and orientation events
-Order office supplies, award certificates
-Take on the tasks of the Assistant to the Academic Dean or the -Assistant to the Upper School Director as needed during absences or breaks

-Answer phone calls, greet visitors, and contribute to projects as a member of the Academic Office team as needed
