Job Summary

Reporting to the Vice President for Philanthropy and Community Engagement (PACE), the PACE Assistant is responsible for providing administrative support to the PACE team; coordinating logistics for the annual fund, gala/auction, alumni, and other fundraising and community events and initiatives; and in cooperation with the parent groups and Assistant Admissions Director for Retention, coordinating school volunteer recruitment and recognition. This is a collaborative role supporting a small team of professionals dedicated to advancing the mission of The Bear Creek School.

Primary Responsibilities

  • Coordinate logistics for the Annual Fund campaign at the direction of the Director of Development.
  • Manage annual calendaring process for PACE.
  • Coordinate logistics and provide administrative support for PACE events throughout the year. Some events take place in the evening and/or on weekends.
  • Assist with coordination of school-wide volunteer recruitment, training, placement, appreciation, recognition, and tracking in collaboration with parent groups and Assistant Admissions Director for Retention.
  • Provide administrative support for parent group events as needed/requested.
  • Coordinate ongoing grandparent engagement including grandparent lunch visits and Grizzly Gram distribution.
  • Provide general administrative and clerical support to the PACE team.
  • Serve as back-up for donor data entry and acknowledgement.
  • Perform other duties as requested to support the projects and goals of the PACE team.

Qualifications

  • Bachelor’s degree and 2-3 years of non-profit or administrative experience. An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for a degree.
  • Demonstrated competency with Microsoft Office suite and relational databases. Experience working with fundraising and event management software highly desirable.
  • Experience attending or working in an independent school preferred.
  • Demonstrated experience working with and managing volunteers highly desirable.
  • Strong interpersonal and relationship-building skills, including the ability to work collaboratively on a team and communicate effectively and respectfully with donors, board members, volunteers, staff, parents, grandparents, and alumni.
  • Proven ability to coordinate complex projects with multiple deadlines and deliverables in a timely, organized way. Adept at juggling competing priorities.
  • Ability to stay focused, even-tempered, and to use good judgment in stressful circumstances.
  • Good written and oral communication skills.
  • Flexible, adaptable, and with a good sense of humor.
  • Willingness to work flexible hours, including occasional evenings and weekends as warranted by events, or other department needs.
  • Hold a valid driver’s license and be willing to drive occasionally for work-related tasks.

Physical and/or Other Requirements

  • May be required to lift up to 30 pounds, work at a desk, move chairs and tables, stand or sit for long periods of time.
  • Valid driver’s license and access to a working vehicle as needed to assist with event logistics.
  • Valid/Current CPR, First Aid, AED Certification
