Tulsa Classical Academy is seeking an Operations Manager to help launch the first classical charter school in Oklahoma. Tulsa Classical Academy is currently working through the startup process with the Barney Charter School Initiative (BCSI) of Hillsdale College and intends to pursue a long-term relationship and use the Hillsdale K-12 curriculum. Candidates should, therefore, be committed wholeheartedly to the BCSI-approach to American classical education.

The Operations Manager performs administrative and supervisory work in the non-academic operations of the organization. Duties include student recruitment, facilities management, purchasing, marketing management, program management, and other operations-related responsibilities. He or she reports to the Head of School to ensure operational success, compliance with contractual and regulatory requirements, and effective resources management.

QUALITIES & CHARACTERISTICS
Maintain records and necessary reports for efficient operation of organization and compliance with federal, state, and local requirements.

Oversee the enrollment process including applications, lottery, and registration of students.

Oversee operations-related programs including, but not limited to, bus transportation program, food service program, before and/or after school care programs, volunteer program, after-school clubs, sports programs, and any other special programs required.

Oversee, develop, and implement procedures and policies as directed by the Head of School and Board.

Determine operational staffing needs including selection, supervision, staff development, evaluation, and termination.

Enforce the policies and procedures of the organization as set by the Board and Head of School.

Recommend changes in policies and procedures to the Head of School.

Assure that all terms of the contracts held by the organization are met.

Manage the established budget and record-keeping processes, and provide inventory control of all organizational resources.

Assist with the development of the annual budget, financial statements, and other reports.

Support the annual financial audit and all other audits and external organizational reviews.

Support the Head of School in fundraising activities and acts as liaison with parent fundraising efforts.

Arrange for legal and financial assistance whenever necessary as directed by the Head of School

Work with the Head of School to oversee the maintenance of the organization’s website and social media.

Plan and manage for efficient utilization and maintenance of the organization’s facilities, including custodial services, network technology, and building security.

Any other duties as assigned by the Head of School.

KNOWLEDGE & SKILLS
The ability to maintain a high degree of energy and personal productivity, and to effectively manage the productivity of others. The ability to prioritize and get things done. The ability to drive incremental and ongoing improvement.

A general understanding of personnel management principles, including recruiting and hiring, supervising and evaluating, and individual and organizational development.

The intellectual and emotional strength, mental agility, and durability to have difficult conversations.

An in-depth understanding of financial management principles, including planning a budget and managing it throughout a school year, auditing, and controls.

An understanding of the school’s respective state accountability system for K-12 public schools and laws relevant to public charter schools.

The initiative, drive, and commitment to develop and improve in areas where he or she is weak.

Proficiency in spreadsheet, document creation, and presentation software (Word, Excel, Powerpoint, Docs, Sheets, Slides).

Knowledge of accounting software, order processing software, and social media platforms.

The ability to acclimate to industry-specific software applications and programs.

REQUIRED QUALIFICATIONS
The minimum educational requirement for this job is a bachelor’s or associate’s degree (or equivalent educational experience).

Five (5) years related professional experience.

Ability to adapt to changes quickly and efficiently in a high-paced environment.

A successful track record of project/program management or multi-tasking is required.

PREFERRED QUALIFICATIONS
Prior experience working at a school with a demonstrated track record of success producing favorable operational outcomes over time.

Prior experience opening a new, public charter school and managing enrollment and facility growth and expansion over time.

Ability to demonstrate, uphold, and embody in daily interactions a commitment to the school’s mission and vision, as well as the moral character and civic virtue the school promotes.

Accounting or finance experience.
